4. Lab Registration and Lab Sections:
4.1 : Lab Registration: Lab registration is done outside of the course registration and add/drop period, after the add/drop period has ended.
a- In lab registration, the PHYL course is not uploaded to the course registration system or Moodle, and this course does not appear on the transcript.
b- The purpose of lab registration is to determine the lab section in which the student will participate in the experiments.
Effective starting from the Spring Semester of 2025:
c- Students are not required to register for the lab. Lab registration is done automatically after the add/drop period and will be announced during the time period specified in the calendar on the website.
d- During the automatic lab registration, the student's course schedule in the registration system will be taken into account. Engagements that do not appear in the schedule will not be considered initially, and the lab sections will be announced as such.
e- For other reasons not listed in the student's schedule but preventing attendance at the assigned lab on the given day and time, the objection day for the assigned section will be announced at the beginning of the semester.
f- The objections to be made on the objection day will be carried out in accordance with the procedures and principles outlined in Article 4.2.
4.2: Section Objection Day: The objection to the lab section can only be made in person on the specified day, time, and location announced on lab website. Online objections (e-mails etc.) will not be accepted.
a- Objections shall be submitted on the designated day with supporting documents.
b- Extracurricular activities will only be considered on the objection day only if they are supported by an official document and within the available capacity. Personal engagements will not be taken into account.
c- Objections submitted outside the designated objection day and time will not be accepted.
d- The student is required to correctly fill out the weekly schedule showing their commitments and attach it to the supporting documents. Students are responsible for any consequences arising from incomplete or incorrect submission of documents.
4.3 Section Objection Rules: The reasons for objecting to the assigned section hours will be considered in the following three categories.
a- Situations in article 4.4 will be accepted as valid if supported by appropriate documentation. However, the acceptance is subject to availablity and depends on the situation, yet the priority is given to these students.
b- Situations in article 4.5 will be considered valid if documented, but they will be subject to availability and strong evidence and presentation of the fact, and not all requests may be accepted.
c- Situations in article 4.6 will be deemed invalid, regardless of the documentation or excuse presented.
4.4: Accepted Situations: The following below will be accepted as valid with high priority and within availability if supported by appropriate, official and valid documentation:
a- If a lab/lecture session of another course is not visible in the schedule in the registration system but exists, then the student shall provide documentation from the course's instructor or assistant to prove this situation and submit it to the lab coordinators.
b- If regular participation of the student in an official university activity is required, then the student shall provide an official document confirming that he/she is required to participate in the university's official activity.
c- If a regular official duty is assigned to the student by the university, then the student shall submit an official letter with the details of the duty, including the date and time, if he/she is unable to attend the lab.
d- If an official internships is required/enforced by the University, then the student shall provide an official document confirming their internship and the fact that it is required by the University.
e- If Regular obligation to be at an official institution outside of school exists, then the student shall provide official documentation proving their presence at the institution.
4.5: Situations that may be or may not be accepted: The requests will be considered as far as possibilities allow, if supported by appropriate, official and valid documentation, but not all requests may be accepted:
a- If regular participation in a school club's activities is the case and if the club represents the school during that section hours, then the student shall submit an official document.
b- If there is a conflict with a Problem Session (PS), then the student shall provide documentation from the assistant or instructor confirming the conflict with the PS.
c- If the students works in a Part-time job, then he/she shall submit an official document confirming their part-time employment.
d- If the students resides in a neighbouring province of Istanbul Province and travels to university in daily basis from that neighbouring province, then he/she shall provide an offical residence certificate. The student shall write a convincing petition that he/she travels to universtiy from these porvinces daily. More evidence (such as regular daily tickets, highway tolls etc.) will be required.
Neighbouring provinces are Kocaeli, Sakarya, Bilecik, Bursa, Yalova, Tekirdağ, Edirne and Kırklareli. Other provinces are not considered as neighbouring. (All neigbouring provinces should be in Marmara region, less than 3 hours away by train, by bus or by car and less than 250 km distance between province city center and Istanbul city center)
e- If the students is attending a special course, then he/she shall provide an official document confirming their participation.
f- If the student is staying in Kilyos dormitories and the section assigned to him/her is at 9:00 AM , the student shall submit an official document confirming their stay at the dormitory.
4.6: Invalid Situations: Any other excuse or situation other than mentioned in article 4.4 or article 4.5 will not be processed. Section change is impossible in this case.
a- Living in a distant district within Istanbul Province will not be considered the same as articles 4.5d or 4.5f, no section change is possible.
b- Personal sports activities, club meetings or community events will not be considered the same as articles 4.4b, 4.4c, 4.4e, 4.5a or 4.5e, no section change is possible.
c- Non-official research or internships will not be considered the same as article 4.4c, 4.4d or 4.4e, no section change is possible.
d- For any other excuse or situation other than mentioned in 4.4 or 4.5, no section change is possible.
4.7 Evaluation of the section objection: Objections to section assignments are evaluated by the lab committee according to the provisions of Article 4.
a- Objections are evaluated until the day before the labs start and are announced on the website no later than one day before the labs begin.
b- When evaluating objections, the physical conditions of the school and the number of students in the classrooms are prioritized.
c- The highest level of attention will be given to ensure that students are not academically disadvantaged. If there is a conflict with mandatory courses that must be taken during that period, this situation will be resolved if it is possible.
d- Although it is mentioned in Article 4.4, if the available resources are insufficient, and the student has the opportunity to take initiative, the student will be asked to make a choice or preference.
e- If students fail to fulfill the necessary diligence when making their objections or do not make them at all, even if the issue falls under Article 4.4, the student will be solely responsible for any problems that arise.
f- In cases falling under Article 4.5, even if the necessary documents are submitted in accordance with the procedure and changes are possible, the decision to make a change lies with the lab committee. The committee may reject applications in this regard without providing a reason. The lab committee cannot be held responsible for the consequences of this situation.
g- When resolving objections, first, article 4.7b is taken into account. Then, the students' courses and labs are considered a priority, if possible. Other activities of the students are considered as secondary.
4.8 Once the results of the section objections are announced, no changes will be made to the sections except in cases of force majeure.
a - Students cannot switch to a different section or conduct experiments in a different section without the permission of the lab coordinators, even if they agree with each other.
b- Students who enter a section other than their own without permission will have their experiment or exam score for that session invalidated and will receive a score of zero.
